The treasurer does not have sole responsibility for the financial affairs of the organisation. The management committee has collective responsibility, but it is the treasurer role to provide information to other committee members in such a way that they can understand the financial position and make reasoned decisions when necessary.
Most of the treasurer work will be done outside committee meetings and will involve:
1. keeping accurate records of all financial transactions
2. signing cheques (though never as sole signatory)
3. ensuring that bills are paid on time along with salaries of employed staff/roles
4. monitoring cash flow and reconciling bank statements
5. preparing and submitting reports to the committee in an agreed format and advising on the use of resources
6. preparing accounts in the format required by charity law, arranging to have them examined or audited as appropriate
7. sending accounts and annual returns to regulatory bodies
8. assisting with funding applications
In addition, as a member of the management committee, (which reports to the trustees) the Treasurer will also be a part of the management team that ensures
the organisation works within the terms of its governing document eg the constitution
the financial affairs of the hall are in order
the fabric of the hall is maintained
the hall and users are properly insured
all appropriate licences are in place
all necessary policies and procedures are in place
the organisation acts as a responsible employer (if appropriate)
new activities and projects are developed in keeping with the wishes of the local community
